What travels between the two systems

The A3 integration solves one very specific problem: personnel data is created in one place and needed in another. Time records, absences, hires and leavers originate in the Kimobox employee portal; payroll calculation and social security filings stay in A3 Nom or a3innuva Nomina. Kimobox prepares that data in the format A3 expects and delivers it within the payroll closing window, with no manual exports and no double entry.

Before HR builds a spreadsheet of the month's variables and sends it to the bureau. Any later correction means resending everything.

After Inputs accumulate through the month as they happen and are delivered in A3 format at closing. Corrections are made at source and travel on their own.

Payroll terms worth pinning down

Payroll input
Any event in the period that changes the calculation: overtime, absences, variable premiums, advances. It is what must be gathered before closing, and what most often goes astray.
Payroll close
The cut-off after which the period is calculated and no longer accepts changes. Anything arriving later carries over to the next month, with the friction that brings.
Variable pay
A pay element that changes each month: commission, bonus, mileage. Unlike fixed pay, it needs a capture and approval circuit before the close.
Personnel master
The stable data about a worker: identification, contract, grade, site. Having a single owning system stops two versions coexisting.
Social security filing
The contribution settlement the payroll program produces. Kimobox does not calculate it: it gives the program the right data so that it calculates it correctly.

Which versions of A3 do you integrate with?

A3 Nom and A3 Innuva, the two payroll solutions from Wolters Kluwer most widely used in Spain.

Does it replace A3 or work alongside it?

It works alongside it. A3 still calculates payroll; Kimobox feeds it already-validated clock-in, absence and hiring data.

How does the payslip reach the employee?

The PDF generated in A3 is automatically published in the employee portal, with signature or a read receipt.

What data travels to A3?

The period inputs: hours worked and overtime, absences with their classification, variables such as premiums or commission, and approved expenses and per diems that belong in payroll.

And in the other direction?

The payslip, which Kimobox distributes to each worker in their portal with an automatic alert and a read receipt, plus the employee master data where A3 owns the employment record.

Does it help if payroll is run by an external bureau?

Yes, and that is where it shows most. Instead of building and emailing an input sheet every month, the information accumulates as it happens and is handed to the bureau in A3 format when the cut-off arrives.

What if something has to be corrected after sending?

The correction is made at source — in the punch, the absence, the variable — and the handover is regenerated. There is no need to keep two versions of the same sheet circulating by email.

How long does the integration take to set up?

It depends how many concepts have to be mapped, but a typical scope of punches, absences and variables goes live in a few weeks, including one payroll run in parallel to compare results.
