HR integrations

Kimobox and Sage X3, one employee record across both systems

Kimobox's employee portal syncs with Sage X3's HR module: clock-ins, absences, contracts and payslips flow between the two systems with no manual exports.

What production gains from this

In a manufacturing company, clocking in is not only about payroll: it is about knowing what a production order really cost. The Sage X3 integration carries the hours recorded in Kimobox through to the ERP's production orders, so labour allocation stops being an estimated month-end spread and becomes the time each person actually spent on each order.

Two-way sync

Employee data and the organizational structure stay aligned between Kimobox and Sage X3.

Hours and absences to X3

Clock-ins, leave and sick days reach X3's HR module in the format it expects for payroll processing.

Hiring with no double entry

A new contract in Kimobox automatically creates the employee record in Sage X3.

Centralized HR documentation

Contracts, payslips and notices generated in X3 are published in the employee portal with signature.

A log of every sync

Searchable log, automatic retries and an alert if something fails.

Your X3 setup stays untouched

Kimobox adapts to the structure of work centers, agreements and concepts already configured in Sage X3.

Vocabulary

Shop-floor and ERP vocabulary

Production order
The ERP document authorising and scheduling production of a given quantity. It is the unit against which allocating hours and materials makes sense.
Allocation
Assigning a consumption — hours, material, energy — to the object that generated it. Without real allocation, product cost is a spread rather than a measurement.
Cost centre
The organisational unit to which costs accumulate. One worker may allocate to several over a single day.
Cycle time
The time between two consecutive units leaving the line. Compared with the routing's theoretical time, it reveals where the loss is.
OEE
Overall Equipment Effectiveness: availability times performance times quality. It is the indicator that summarises whether a line is performing, provided all three components are measured from real data.

Frequently asked questions

What people ask us before getting started

Do you integrate with any version of Sage X3?

Yes, as long as it exposes an API or database access, which is common in active X3 deployments.

Does it replace Sage X3?

No. Sage X3 remains the ERP and calculates payroll; Kimobox provides the employee portal and sends it already-validated data.

What happens if X3 is unavailable?

Kimobox keeps operating normally and queues the pending syncs until it's reachable again.

What does allocating hours to the production order achieve?

The real labour cost per order, instead of a proportional spread. It is what reveals which part numbers consume twice what was planned and have been hiding behind the average for years.

Can productivity be compared across shifts?

Yes, by cross-referencing output, hours present and recorded stoppages per shift. Without all three the comparison means nothing, which is why these conversations usually end in perceptions.

Does the operator have to do anything differently?

Clock in and select the order they are working on, from the shop-floor terminal or the phone. If they switch orders, they say so. The system does the rest.

Does it help with quoting?

Yes. The real history of hours per part number feeds the next quote, rather than the routing theoretical time that in many cases has not been reviewed in years.

Which Sage X3 versions are supported?

Those with the HR and production modules active. The connection is established through its services interface or an intermediate database, depending on what the IT department prefers to maintain.

Kimobox integration with Sage X3 for HR and payroll

Kimobox's integration with Sage X3's HR module syncs clock-ins, leave, absences, hires and terminations between the employee portal and the ERP, eliminating double entry between HR and administration.

Contracts, payslips and HR documentation generated in X3 are automatically published in the employee portal, respecting the work center and collective agreement structure already configured in the ERP.
