Every shipment comes with its analysis certificates, data sheets and declarations, generated from the batch's actual data and available to the client on their portal.

Which document is issued, and from what data

A certificate of analysis is the document accompanying a batch that attests its measured parameters fall within the specification agreed with the customer. Produced by hand, it degenerates into a template somebody fills in by copying values from elsewhere. Kimobox issues it from the batch's real data — the figures the laboratory or the line recorded — and publishes it in the customer portal alongside the datasheet and any applicable declarations.

Vocabulary

Documents that get confused with each other

Certificate of analysis (CoA): A document recording the test results for one specific batch and comparing them with the specification. It is batch-specific and does not apply to another.
Technical datasheet: A description of a product's general characteristics: composition, properties, conditions of use and storage. It belongs to the product, not the batch, and has versions.
Declaration of conformity: The manufacturer's statement that the product meets a specific standard or regulation. Mandatory for food-contact materials and for CE-marked industrial products.
Upstream and downstream traceability: The ability to know which raw materials a batch came from and which customers received it. The first identifies the source of a problem; the second, its extent.
Specification: The set of parameters and acceptable ranges agreed with the customer. It is the yardstick against which the certificate declares a batch conforming or not.

What requires the batch to be identified?

What is the difference between a certificate of analysis and a datasheet?

The certificate of analysis relates to one specific batch and reports its test results against the specification. The datasheet describes the product in general and has versions. Confusing the two is a common audit finding.

How long should a mock recall take?

Food protocols usually require traceability to be reconstructed quickly, frequently in under four hours. With the data linked, the query is immediate and the time goes on deciding rather than searching.

Is the version of the document that was delivered retained?

Yes. Each shipment keeps the version current at the time, so if a customer asks about a supply from two years ago you recover what was delivered then, not the present version.

Can the customer download them themselves?

Yes, from their portal, linked to their delivery note or batch. It is the route that removes most of the calls to customer service asking for paperwork.
