Employee portal

Payslips delivered on their own, with a read receipt

The payslip generated in A3 or Sage X3 reaches the employee portal with no one having to email it, with a read receipt, electronic signature and an automatic alert once it's available.

What the law says and how delivery is evidenced

Handing out payslips on paper stopped being compulsory a long time ago: what the law requires is that the worker receives their payslip on the official template and that the employer can evidence delivery. Kimobox takes the file produced by A3 or Sage X3, distributes it to each worker in their portal, notifies them that it is available, and stores the read receipt with date and time; where the document calls for it, it adds an electronic signature.

What the change looks like

Services · 300 people

The monthly round of 300 emails

Before One person in Admin splits the payroll PDF, renames file after file and sends three hundred emails. Every month one goes to the wrong address.

After The file is uploaded once and each payslip reaches its recipient by employee number. No worker sees anyone else's, and distribution takes as long as an upload.

Manufacturing · no corporate email

People without a work email address

Before Payslips printed and handed out on the production line, with a signature sheet that sometimes goes missing.

After The operator signs into the app with their own user, views the payslip, and the access is logged. Where express acknowledgement is needed, they sign on screen.

Group with several entities

Requests for old payslips

Before Every duplicate means searching that year's archive. Two or three requests a week.

After The history lives in the worker's own portal. Requests to Admin all but disappear.

Vocabulary

Distinctions that save trouble

Individual payslip
The legal name for the payslip. It must follow the official template or the one set by the collective agreement, and set out earnings and deductions clearly.
Read receipt
A record that a specific person accessed the document, with date and time. It is the proof of delivery that replaces a signature on the distribution sheet.
Advanced electronic signature
A signature uniquely linked to the signatory and capable of detecting any subsequent change to the document, under art. 26 of the eIDAS Regulation. It is the usual level for employment paperwork.
Payroll file
The output the payroll program produces, usually a PDF containing every payslip for the period. Distributing it means splitting it by worker and attaching each part to their record.
Acknowledgement
The act by which a worker states agreement with the payslip contents. Not essential for delivery, but many employers ask for it and should be able to evidence it.

Frequently asked questions

What people ask us before getting started

How does the payslip arrive from A3 or Sage X3?

The A3 or Sage X3 integration automatically publishes the payslip PDF in the employee portal, with nothing exported or sent by hand.

Does the employee have to sign the payslip?

It's optional; you can configure just a read receipt or an electronic signature of the payslip, depending on what your company needs.

Can an employee see past years' payslips?

Yes, the full history stays available in their profile with no need to ask HR for it.

Where does the new-payslip alert appear?

By email or push notification, and it also appears as an alert in the corporate intranet.

Is digital-only payslip delivery lawful?

Yes. The law requires the worker to receive their payslip on the official template and the employer to be able to evidence delivery; it does not impose paper. What matters is retaining proof it reached its recipient.

What weight does a read receipt carry?

It evidences that an identified person accessed the document, with date and time. It is the proof of delivery that replaces a signature on the distribution sheet, and what you produce if delivery is later disputed.

Can one worker see another payslip?

No. Distribution is by employee number and each payslip is bound to its record. No user reaches documents that are not theirs, and every access is logged.

Can other documents be delivered the same way?

Yes: withholding certificates, announcements, contract addenda, internal policies. The delivery circuit with receipt and optional signature is the same.

Payslip delivery with read receipt and electronic signature

Kimobox's payslip delivery module automatically publishes in the employee portal the payslip generated in A3 Nom/Innuva or in Sage X3's HR module, with no one having to export or email it.

Every available payslip triggers an automatic alert to the employee and shows up as a notification in the corporate intranet too, with a read receipt and optional electronic signature.

The full history of past years' payslips stays accessible to each employee from their own profile, with no need for HR to look it up and resend it manually.
