Support, operation and documented information

Awareness (7.3) now covers quality culture and ethical behaviour, and the standard clarifies how documented information is required.

Awareness: culture and ethics

Clause 7.3 adds one item to what people must be aware of: the organisation's quality culture and ethical behaviour. It is the reflection, among staff, of top management's new commitment.

It is usually checked by asking questions during the audit. Induction training that explains what is expected of each person, and not just where the procedures are kept, is the most direct way to cover it.

Documented information

The standard introduces a new formula for documented information requirements and clarifies what it means for information to be available. It is worth checking that every required document or record is accessible to whoever needs it, at the moment they need it.

Operation

The transition document lists no main changes in clause 8: review of orders, design, suppliers, production, release and nonconforming outputs. That does not mean there are none; until it has been checked against the standard, the sensible approach is to treat existing controls as valid and go over them in the gap analysis.

What an auditor usually asks for

  • Induction and refresher training covering quality culture and ethics
  • Evidence that staff know the policy, the objectives and what is expected of them
  • Required documents and records accessible to whoever needs them
  • Clause 8 operational controls reviewed against the new text

How to cover this block in Kimobox

  1. 1Record each person's training on their employee portal profile, with expiry dates and automatic reminders.
  2. 2Manage documentation with versions, approval and an always up-to-date master list, without parallel folders.
  3. 3Turn on read receipts for the documents each role must know, so the evidence is there without having to chase it.

Read receipts and the training matrix are the awareness evidence you can show at the audit.
