Resources: people, infrastructure and environment
You must determine and provide the necessary people, the infrastructure —buildings, equipment, transport, technology— and a suitable environment for the processes, plus monitoring and measuring resources, including calibration, and the organization's accumulated knowledge.
Competence, awareness and communication
Anyone who affects the performance of the system must be competent through education, training or experience, and that competence must be on record. Staff must also be aware of the policy, its objectives and their own contribution. The standard also requires defining what, when, with whom and how the organization communicates, both internally and externally.
Documented information
The system requires documents and records that add real value, not paperwork for its own sake. They must be created and updated with proper identification, format and review, and their distribution, access, use, storage, changes and retention must be controlled.
What an auditor usually asks for
- Training and competence-assessment records for key staff
- A maintenance and calibration plan with up-to-date records
- A master document list showing the current version and change control
- Evidence of internal communication about the system's objectives and results
How to cover support in Kimobox
- 1Log each employee's training and competence on their record in the employee portal, with expiry dates and automatic alerts.
- 2Track equipment maintenance and calibration with alerts before each review is due.
- 3Manage the system's documentation with versions, approval and an always up-to-date master list, no more parallel folders.
- 4Communicate objectives and results directly to each user based on their role, instead of relying on a mass email.
Staff competence stops being a folder of PDFs: every employee record warns you before a training expires.
