GMP+ feed traceability and recall

From feed material to customer, batch by batch, with samples kept so they can be tested later and a recall procedure that has been tested.

In one sentence

The GMP+ traceability and recall record links each feed batch to the feed materials and additives used and to the customers who received it, keeps representative samples of the batches and documents periodic testing of the recall procedure, as GMP+ B1 and Regulation (EC) 183/2005 require, on the basis of Article 18 of Regulation (EC) 178/2002.

Quality, production and dispatch The test is coordinated by quality
When
For every batch and in the periodic test The scheme or the company sets the test frequency; at least once a year is advisable
How long it is kept
As set by the scheme and the law Regulation (EC) 183/2005 requires records that allow traceability, and the GMP+ documents set minimum retention periods: check them in the current version of the B document that applies to you.

What the standard requires

What GMP+ demands and what it leaves to your judgement

GMP+ requires a traceability system that links batches of feed materials, additives and premixes with the feed batches produced and with their customers, and that is tested periodically. It also requires product samples to be kept so they can be analysed if a problem arises.

The recall procedure defines who decides, how customers, the scheme and the authority are notified, and how the feed is recovered. It is rehearsed to check that it works.

FSSC 22000 and the food standards require similar tests; the sheets for those schemes develop their nuances.

Structure

Fields the template should include

  • Feed batch, date and quantity
  • Batches of feed materials, additives and premixes used
  • Customers, dates and quantities dispatched
  • Retained samples: identification and location
  • Traceability test: times and balance
  • Mock recall: decision and communications
  • Deviations and actions

Example

Example: annual test at a fictitious feed mill

Company, people and figures are fictitious: the example only shows what a properly completed record looks like.

Field Content
Batch Sow feed · batch PC-26-0820 · 30 t
Inputs Maize (2 batches) · barley · soya · vitamin-mineral premix batch PM-118
Customers 5 farms · 29.4 t
Balance 30 t = 29.4 t dispatched + 0.5 t in the bin + 0.1 t samples and losses
Sample Retained sample located in the sample store, shelf 14
Mock recall Simulated decision in 40 min · 5 farms reached by phone within 1 h
Improvement One farm had no emergency phone number on record · the data is completed

At the audit

Mistakes auditors commonly flag

  • Premixes and additives with no batch recorded in the batch formula.
  • Retained samples that cannot be found or are poorly identified.
  • A test with no quantity balance.
  • Customer contacts not kept up to date.
  • The procedure does not provide for notifying the scheme.

In Kimobox

How this record is kept in Kimobox

  1. 1Batches are linked from feed material and premix to the farm, in both directions.
  2. 2If the ERP owns the batch, Kimobox consumes that data and attaches the quality records to it.
  3. 3The mock recall returns the affected batches and customers in minutes.
  4. 4The test is recorded with its times, balance and improvements.

Frequently asked questions

What people ask us before getting started

Why must samples be kept?

Because they allow a batch to be analysed after delivery if a problem appears on the farm or an alert is issued. GMP+ sets how and for how long they are kept.

How often is recall tested?

At the frequency set by the scheme or the company; the usual practice, and what auditors expect, is at least once a year.

Who must be notified in a real recall?

The customers affected, GMP+ International through the Early Warning System and the competent authority, as Article 20 of Regulation (EC) 178/2002 requires for feed.
